Executive Secretary



  • Provide a full secretarial and administrative support service.
  • Attend meetings to record minutes.
  • Type documents reports and correspondence.
  • Co ordinate and organize appointments and meetings.
  • Answer phone calls and direct calls to appropriate parties or take messages.
  • Prepare agenda for meetings.
  • Greet visitors and clients and direct them to the correct staff member.
  • Receive sort and distribute incoming mail.
  • Monitor incoming emails and answer or forward as required.
  • Prepare outgoing mail for distribution.
  • Maintain the general filing system and file all correspondence.
  • Assist with event planning and implementation.
  • Update and maintain databases such as mailing lists contact lists and client information.
  • Update and maintain internal staff contact lists.
  • Perform work related errands as requested such as going to the post office and bank.
  • Organize travel arrangements for staff.
  • Prepare correspondences.
  • Operate office equipment such asphotocopy machine and scanner.
  • Screen and respond to all incoming telephone calls and take action as appropriate.
  • Maintain hard copy and electronicfiling system.
  • Maintain contact lists.
  • Produce and distribute correspondence memos letters faxes and forms.
  • Undertake projects and research which might require contact with external agencies as required.
  • Make travel arrangements.
  • Follow up on action plans.
