Administrative Assistant Payroll



lt div gt Job Announcement lt br gt lt br gt Serves as subject matter expert for payroll and benefits support. Provides high quality customer service training and expertise regarding county and departmental payroll and benefits policies and procedures. Provides information guidance and problem resolution in written and verbal form. Collaborates with decentralized department staff and Department of Human Resources staff to ensure employees are paid accurately on time and in compliance with all applicable requirements. Reviews time and attendance data for completeness and accuracy and conducts time and attendance audits. Investigates complex payroll issues and provides resolution effectively utilizing resources. Processes a high volume of Personnel Action Requests to include appointments transfers promotions acting titles separations etc. in FOCUS. Processes employment verifications. Resolves problems in a team based environment and balances multiple priorities and tasks within required time frames. Under the supervision of the Payroll Office Manager. lt br gt lt br gt The functional areas for this position are payroll  benefits administration and human resources. lt br gt lt br gt Illustrative Duties lt br gt lt br gt lt em gt Payroll lt em gt lt br gt lt strong gt   lt strong gt lt ul gt lt li gt Prepares and or supervises preparation of complex payroll e.g. shift differential overtime multiple grants 56 hour workweek FLSA . lt li gt Researches payroll issues e.g. overtime leave hours . lt li gt Interprets policies amp procedures. lt li gt lt li gt lt li gt lt ul gt Required Knowledge Skills and Abilities lt ul gt lt li gt Knowledge and understanding of the programs or activities of the unit served as well as of the county and departmental administrative guides lt li gt Position may require knowledge of basic principles and methods of a technical or professional field. lt li gt lt li gt lt ul gt lt em gt Math Skills lt em gt lt br gt lt strong gt   lt strong gt lt ul gt lt li gt Basic math skills. lt li gt lt ul gt lt em gt Word Processing Typing lt em gt lt br gt lt strong gt   lt strong gt lt ul gt lt li gt Intermediate skills in use of applicable Microsoft Office Word. lt li gt lt ul gt lt em gt PC Skills lt em gt lt br gt lt strong gt   lt strong gt lt ul gt lt li gt Intermediate skills in the use of applicable Microsoft Office Suite software lt li gt Intermediate skills in the use of agency specific software applications. lt li gt lt li gt lt ul gt lt em gt Communication lt em gt lt br gt lt strong gt   lt strong gt lt ul gt lt li gt Ability to communicate well through written and oral means. lt li gt lt ul gt lt em gt Information Abilities lt em gt lt br gt lt strong gt   lt strong gt lt ul gt lt li gt Ability to gather integrate and analyze simple data. lt li gt lt ul gt lt em gt Interpersonal Abilities lt em gt lt br gt lt strong gt   lt strong gt lt ul gt lt li gt Ability to establish and maintain effective working relationships with both external and internal contacts. lt li gt lt ul gt lt em gt Personnel and Payroll lt em gt lt br gt lt strong gt   lt strong gt lt ul gt lt li gt Ability to perform complex Human Capital Management Enterprise Resource Planning system functions e.g. establish a position create a PCF determine cost center codes etc. . lt li gt lt ul gt lt em gt Executive Assistance lt em gt lt br gt lt strong gt   lt strong gt lt ul gt lt li gt Ability to maintain confidentiality and be sensitive to political issues. lt li gt lt ul gt Employment Standards lt br gt lt br gt lt strong gt MINIMUM QUALIFICATIONS lt strong gt lt br gt Any combination of education experience and training equivalent to high school graduation and three years of experience providing administrative support in the assigned functional area s . lt br gt lt br gt lt strong gt NECESSARY SPECIAL REQUIREMENTS lt strong gt lt br gt The appointee to this position will be required to complete a criminal background investigation and a credit check to the satisfaction of the employer. lt br gt lt br gt lt strong gt PREFERRED QUALIFICATIONS lt strong gt lt ul gt lt li gt Knowledge of payroll and human resources regulations including those related to the Fair Labor Standards Act FLSA lt li gt Experience in automated payroll and personnel processing in a fast paced environment lt li gt Excellent time management and multi tasking skills lt li gt Strong interpersonal communication and organizational skills lt li gt Have the ability to maintain confidentiality lt li gt Strong mathematical skills lt li gt Intermediate skills in using SAP Human Capital Management HCM Microsoft Office computer software especially Excel Word and Outlook to perform simple data entry and analysis and prepare simple reports and correspondence. lt li gt lt li gt lt li gt lt li gt lt li gt lt li gt lt li gt lt ul gt lt strong gt PHYSICAL REQUIREMENTS lt strong gt lt br gt Job is sedentary in nature. Requires visual acuity to read data on computer monitor  ability to operate keyboard driven equipment and ability to communicate with others. May be required to lift up to 25 pounds.
